Operating Procedures for Information Desk Student Employees

Scheduling Information

You are responsible to work your scheduled hours.

  • These hours were determined at the beginning of the semester and agreed upon by you.
  • ALL shift changes MUST be communicated to Kayla at least 24 hours before your shift. 

 

  • PLEASE NOTIFY a Student Coordinator if:
    • 1. You are ill and unable come to work.
    • 2. You have an emergency.
    • 3. Another student has not shown up for their shift.
    • You are still expected to show up for your shift until you have received confirmation from the Student Coordinator that your shift will be covered. 
    • First try to text/call Student Coordinators 
    • Next, reach out to Student Coordinators on GroupMe.
    • If student coordinators are not available, reach out to the Circulation Manager by email/text. If unreachable, contact the Library Technologist.

Inclement Weather

  • When classes are in session, the Library will try to open regardless of the College’s decision to close for inclement weather. However, the regular library hours may vary depending on the severity of the weather.
  • If the college closes, the Circulation Manager will contact Student Coordinators to notify them of schedule changes. Student Coordinators are responsible for contacting students scheduled to work that day to inform them of changes. Unless they hear otherwise, students are expected to report to work as usual. During inclement weather situations, attending shifts on time is important as staff might not be able to commute to campus.

Shift Changes

  • Students must be on time for all shifts.
  • Do not to leave the desk until the person scheduled to work the next shift has arrived.
  • Sign in and out for a shift using individual sign in sheets on the desk AND ADP.
  • If the person who works after you is late, it is your responsibility to contact them (schedule and contact sheet are on the bulletin board).
  • If you are unable to get in touch with the person scheduled to work after you and are unable to work the shift yourself, use the contact sheet to get in touch with other students and if you need help, call one of the Student Coordinators (noted on contact sheet) and they will help you find someone able to work.
  • Notify the Circulation Manager of any problems regarding shift changes.

Schedule Changes

  • All schedule changes must be communicated to the Student Coordinators, who will note them on the white board.
  • The white board is also used for communication among student assistants.

Breaks

  • If you are scheduled for 4 hours or more, you are eligible for a 15 minute break during your shift.
  • You may not take your scheduled break in the first or last 15 minutes of your shift.
  • You should not take your break during peak busy times. Wait for it to calm down before taking your break.
  • Inform your supervisor if you are taking your break during daytime hours.
